Refund & Cancellation Policy

Summary: We offer a 7-day refund window for new subscriptions. Monthly plans can be cancelled anytime. Annual plans are non-refundable after 7 days but include a pro-rated credit for unused months. No refunds for trial periods.

1. General Policy

TOD 360 AI is a subscription-based SaaS product. As the Service is delivered digitally and becomes available immediately upon payment, our refund policy is designed to be fair while accounting for the nature of software services.

All refund requests must be submitted to support@tod360ai.com with your registered email address, organisation name, and the reason for the request.

Refunds, when approved, are processed to the original payment method within 5–10 business days through Razorpay. The actual credit to your account depends on your bank or card issuer.

2. Refund Scenarios

New Subscription — within 7 days Refund eligible

If you subscribed for the first time and are not satisfied with the Service, you may request a full refund within 7 calendar days of your first payment. This applies to both monthly and annual plans.

To be eligible, your account must not have more than 10 active employee sessions, and you must not have exported any payroll or HR reports.

Monthly Plan — cancellation after 7 days Not refundable

Monthly subscriptions can be cancelled at any time. Cancellation takes effect at the end of the current billing period. No partial refund is issued for the unused portion of the month, as the Service remains fully accessible until the period ends.

Annual Plan — cancellation after 7 days Pro-rated credit

Annual subscriptions cancelled after the 7-day window are not eligible for a cash refund. However, we will issue an account credit for the unused complete months remaining in your subscription. This credit can be applied to a future subscription or plan upgrade.

Example: If you cancel after 4 months of a 12-month plan, you receive credit for 8 unused months.

Free Trial Not applicable

Free trials do not involve any payment. No refund is applicable. If you upgrade to a paid plan during a trial, the 7-day refund window applies from the date of your first payment.

Duplicate Payment Full refund

If you were charged twice for the same subscription period due to a technical error, contact us within 30 days. We will verify and issue a full refund for the duplicate charge promptly.

Service Downtime / Technical Issues Case-by-case

If the Service experiences significant downtime (more than 24 consecutive hours) due to issues on our end, you may be eligible for a pro-rated credit for the affected period. Please contact support with evidence of the downtime.

You can cancel your subscription at any time through the admin panel:

  1. Log in to your admin account at https://app.tod360ai.com/admin
  2. Go to Settings → Organisation → Billing
  3. Click "Cancel Subscription"
  4. Confirm the cancellation

Note: Cancellation does not automatically trigger a refund. If you believe you are eligible for a refund, please also submit a refund request as described below.

5. How to Request a Refund

  1. Email support@tod360ai.com with subject line: "Refund Request — [Your Organisation Name]"
  2. Include: registered email address, order/invoice number, amount paid, date of payment, and reason for refund
  3. We will acknowledge your request within 2 business days
  4. We will review and respond with a decision within 5 business days
  5. Approved refunds are processed within 5–10 business days to your original payment method

6. Payment Disputes

Before initiating a chargeback with your bank, please contact us first. We resolve the majority of billing disputes quickly and amicably. Chargebacks initiated without prior contact may result in account suspension while the dispute is investigated.
